Florist & Flower Delivery

Flowers delivered late
are no longer flowers.

Time-slotted delivery planning, message card tracking, peak-day capacity, courier routes and shelf-life and waste records. In this business a late delivery costs more than a returned product.

The midday slot is over capacity. The system stopped taking new orders for it — accepting them would mean late deliveries, and on 14 February a late bouquet is a returned bouquet.

Capacity is calculated from courier numbers and average delivery time. Figures are illustrative and get set up from your own couriers and delivery area.

If the message card goes wrong, the order went wrong.

With flowers, the message matters as much as the product. A message written on the wrong card ruins a delivery even when the flowers are right.

Message card

Today like yesterday, tomorrow like today.

— M.

The card is printed with the order and the person preparing it sees it on screen. A handwritten card can end up attached to the wrong order; a printed one belongs to the order itself.

If the sender wishes to stay anonymous, their name is hidden from the courier and the recipient and held only in the system. That is a common request with flowers and has to be handled properly.

Two days of the year are worth three months of it.

Valentine's Day and Mother's Day carry a large share of most florists' annual turnover. Preparation for those two days earns — or costs — more than the other 363 combined.

Peak-day preparation

Pre-order capacity

Slot allocations open a week ahead and close when full. Taking unlimited orders means failing to deliver them.

Supply planning

Quantities and varieties sold on the same day last year are compared against this year's orders. Over-buying rots; under-buying loses sales.

Extra couriers

The number of temporary couriers needed for the peak day is suggested from the capacity calculation.

Pricing plan

Peak-day pricing is defined in advance; courier and flower costs differ that day and that has to be in the price at the point of sale.

In this table the peak day is ten times an ordinary one. Without capacity planning, some of the orders taken that day go late or never go at all — and that customer doesn't call again.

The courier shouldn't be sequencing the list themselves.

Deliveries in the same slot and the same district are grouped, and the order is suggested by distance. Every delivery closes with a photograph.

An undeliverable order stays open with the courier and the sender is notified. "Nobody was home" happens often with flowers; if the instruction is written on the order beforehand, the courier doesn't stand and wait.

Flowers that don't sell are rubbish in two days.

In this trade stock perishes, and perished stock doesn't come back. A shop that doesn't measure its waste doesn't know where its margin went either.

The 20% waste on seasonal mixed flowers says the purchase quantity is too high for the sales rate. A shop that watches this table weekly adjusts its buying by itself; one that doesn't repeats the same mistake every week.

Delivery photographs

The courier photographs the delivery and it reaches the sender. A sender who has seen the flowers doesn't ask whether they arrived.

Message card archive

When the same customer orders again, their past messages are visible — plenty of people would rather not send the same words twice.

Pre-orders

Orders for peak days are taken in advance and draw down the slot allocation. When a slot fills, it closes.

Intercity and partner florists

Orders for other cities pass to a partner florist; delivery confirmation and photograph collect in the same system.

Corporate customers

Regular flowers for hotels, restaurants and offices. Recurring orders are generated automatically and invoiced monthly.

Online order feed

Orders from your website or social media land on the same board; no separate notebook.

Questions

Who sets the slot capacity?

You do — from your courier numbers and average delivery time. The system compares order counts against capacity and closes a slot when it fills. Entering capacity higher than reality means failing to deliver on the peak day; a realistic figure is essential.

Does it integrate with our website?

Orders from your site can be imported. Tell us which platform you use and we'll say whether it's an integration or a file transfer. For florists without a site, a simple order form can be set up.

How does it work with partner florists?

An order for another city passes to the partner florist, who closes the delivery in the system — the photograph comes from there too. Partners get limited access and cannot see your other orders.

Isn't waste tracking difficult?

It's a few minutes a day: entering what was thrown away. The hard part is the habit, not the technology. But after a month of entries you know exactly what you lose on which product, and that figure is usually higher than people assume.

Can senders stay anonymous?

They can. The sender's name is hidden from the courier and the recipient and held only in the system. That is a frequent request with flowers and was designed in from the start.

How many orders and branches?

No limit, and no per-user fee. High order volumes on peak days are already planned for on the server side.
