Wedding Venue & Outdoor Weddings
Promising the same date twice happens once and is never forgotten.
Per-venue booking calendar, held dates, a package configurator and payment plans. Which hall is whose on which day, when the deposit is due, who arrives at what time on the day — all in one place.
When a hold expires the date does not release itself — you get a warning first. That distinction matters: releasing a date without asking anyone loses customers too.
Don't do the arithmetic on the phone.
Pick guest count, menu and extras and the price appears at the same moment. Make a selection below and watch how the total is built. This is how the same wedding stops being quoted two different prices.
This calculator is illustrative. At your own venue, your menus, hire rates and extras list are set up, and the result can be handed to the couple as a printout.
Has the deposit landed, and what's left?
A wedding is sold six months ahead and paid in four instalments. Which couple owes what and when — tracking that is the dullest and most decisive part of running a venue.
A late instalment lands on a list, and a reminder goes to the couple if you want one. You write the wording — the tone before a wedding is delicate.
Nobody should be calling each other on the day.
The same running order goes to the couple, the band, the photographer and the kitchen. Everyone knows what happens when, and the "when is the cake coming" phone call never rings.

Table layout, styling and sound system checks complete.

Lighting and music crew ready, floor cleared for the first dance.
Dinner service
The kitchen serves to the menu. Allergen and special-menu notes are visible to service.

The ceremony table and PA are set up and the gift list prepared.

Fireworks, if any, go at this hour with permits and safety checked beforehand.
Close
Clear-down, lost property logged, next day's preparation.
Seeing the dead season is the first step to filling it.
A venue is full for six months and empty for six. Seeing the empty months is what lets you decide: corporate events, engagements, graduations, henna nights. The distribution below is illustrative.
November and January are the two emptiest months of the year. Filling them with corporate dinners and new year events is easier than lifting summer occupancy by a single point.
The rest of the venue
Table and seating plan
The layout is drawn on screen and guests assigned to tables. When something changes the plan reprints.
Menus and allergens
Special menus and allergen notes come out as separate lists for the kitchen and for service.
Supplier coordination
Photographer, band and florist each see their own task list. Explaining the same thing three times stops.
Date holds
A date is held for a set period. Before it expires, both you and the couple get a reminder.
Cost tracking
Costs are entered per wedding, so real profit appears alongside hire and menu revenue.
Contracts and annexes
The contract, additional protocols and amendments live in the file. What was agreed isn't argued over later.
Questions
Can I see several venues on one calendar?
Yes — the system was built for exactly that. Each venue appears as its own band in the calendar; different weddings can run on the same day in different spaces and clashes are blocked automatically.
Does a date open automatically when a hold expires?
No, and that is deliberate. When the period ends you get a warning and you make the call. Releasing a date without telling anyone can lose you more customers than holding it.
Does it suit outdoor and garden weddings?
It does. Instead of halls you define spaces; capacity, weather notes and the rain plan go on the space. Menus and extras work the same way.
Can the couple see their own wedding?
If you want. The couple can be given a link showing only their running order, payment plan and guest list. You decide what is visible.
Can we put the price calculator on our website?
You can. But we suggest showing an indicative range rather than a firm price; wedding pricing shifts by date and season, and a fixed figure on the site creates negotiation problems later.
How many users can we add?
No user limit. The venue manager, kitchen lead and sales team log in with different permissions, so you don't have to show payment details to the kitchen.
