Appointments & Client Management

The hour nobody showed up for still cost you.

Clash-free scheduling across staff and resources, reminders that actually reduce no-shows, full client history and online booking that only offers genuinely free hours.

One week, one screen

Where your capacity actually goes

Booking density by day and hour. The pale squares are not quiet periods — they are hours you paid for and did not sell. Once they are visible, they become something you can fill.

The four hours a week nobody counts

The silent no-show

Booked, held, never arrived, never called. The staff member waited, the room stayed empty, and the person who wanted that slot was told it was taken.

Booking by phone, one call at a time

Someone stops what they are doing to answer, checks a book, offers an hour, gets a no, offers another. Six minutes per booking, forty bookings a week.

The double booking

Two staff taking bookings from two places. It surfaces when both clients arrive, and one of them leaves with a bad story to tell.

The client who quietly stopped coming

They used to come monthly. It has been four months. Nobody noticed, because nobody was looking at frequency.

What it does

Scheduling that defends your calendar

Clash-free scheduling

A booking reserves the staff member, the resource and the client together. If any of the three is busy, the hour is never offered — so a clash is not a mistake you fix, it is a state that cannot occur.

Reminders that cut no-shows

Automatic messages the day before and the morning of, from your own number. Most silent no-shows turn into a reschedule, which at least frees the slot for someone else.

Gap filling

When a cancellation opens an hour, the system knows who asked for that day and offers it to them first — instead of the hour quietly disappearing.

Client history

Every past appointment, what was done, by whom, what was paid and what was noted. The returning client is not a stranger to whoever is on the desk today.

Online booking

A booking page that only offers hours that are genuinely free for the right staff member and the right duration, so an online booking never creates a clash.

Payments and packages

Session packages, deposits and outstanding balances tracked per client, so the count is a record rather than two conflicting memories.

The arithmetic

What no-shows cost in a year

A modest example: three staff, forty appointments a week, an average value of ₺900. This is the number most businesses have never actually calculated.

Appointments per week40
No-show rate before reminders14%
Lost appointments per week5,6
Average appointment value₺900
Annual loss at 14%₺262.080
Annual loss at 6%₺112.320
Recovered₺149.760

Reminders do not eliminate no-shows and we will not claim they do. They convert most silent ones into a reschedule — and a rescheduled hour is an hour you can sell.

Questions

Frequently asked

Do reminders really reduce no-shows?

They reduce them; they do not eliminate them. A message the day before converts most silent no-shows into a reschedule, which at least frees the slot. Anyone promising zero no-shows is selling you something.

Can clients book online themselves?

Yes, and the page only offers hours that are genuinely free for the right staff member and service duration — so an online booking can never create a clash with a phone booking.

How does gap filling work?

Clients who asked for a day that was full are remembered. When a cancellation opens that hour, they are offered it first, before the slot quietly disappears.

Does it work for multiple staff and rooms?

Yes. Staff, rooms and equipment are all bookable resources, and an appointment reserves every resource it needs at once.

Can we import our existing client list?

Yes, from Excel or CSV. Past appointment history can be imported too; how much carries over depends on how structured your existing records are.

Which channel do messages use?

WhatsApp and SMS, sent from your own number so the client recognises the sender. That single detail makes the largest difference to whether the message is read.

Is client data handled correctly under KVKK?

Client contact details and appointment history are personal data. Access is role-based, consent for marketing messages is stored separately from service messages, and access is logged.
