Warehouse & Stock Operations

The stock is in the warehouse. Nobody can find it.

Addressed racking, barcoded goods in and out, pick routes and variance tracking. The software knows which aisle and which bin holds the item your stock list says you have — not the warehouseman's memory.

Tap an aisle — its turnover and bin occupancy change. Moving fast-moving lines to the aisle nearest the door is the single decision that cuts picking time most.

Stop walking the aisles twice.

When an order arrives the system sorts the bins into aisle order. The picker follows one path on the handheld; scanning an item opens the next bin. Same order, same items, a third of the walking.

Scanning from the wrong bin raises a warning on the handheld — the wrong item never makes it into the box.

Manual entry is where variance begins.

From goods-in to dispatch, every movement passes through a scan. A movement that isn't scanned isn't recorded; a movement with no record is exactly what shows up as variance at the count.

01

Goods in

The delivery note is scanned and quantities counted. Short or over deliveries are caught while the truck is still at the door.

02

Put-away

The system suggests a suitable empty bin and the operator confirms. Where an item sits is recorded, not guessed.

03

Picking

Order-based routing. Every scan reduces stock, and the handheld blocks the wrong item going into the box.

04

Dispatch

The carton is scanned and the note issued. What went into which carton is on record — when a customer says something is missing there is somewhere to look.

Stocktake night shouldn't end in surprises.

A variance figure on its own means nothing; it means something once you know where it came from. The system gives the difference alongside the item, the aisle and the movement type. The table below is an illustrative period count.

Clicking a variance line opens every movement for that item in the period. You read instead of hunting.

Money sitting on a shelf.

The expensive thing in a warehouse isn't empty space, it's full space that doesn't sell. Stock age shows which lines haven't moved and for how long — that is what you base a discount, a return or a write-off on.

Stock older than a year looks like 4% of the value but occupies 19% of the floor. In most warehouses the gap between those two numbers is the real cost.

The rest of the warehouse

Batch and serial tracking

Lot, serial number and expiry date. If a recall is needed, which batch went to which customer is a list.

Handheld terminals

Works with Android handhelds and with a phone camera. You are not forced to buy separate hardware.

Multiple warehouses

Inter-branch transfers, stock visible in transit, and permissions per site. What is where, in one list.

Cycle counting

Instead of closing once a year, count aisle by aisle on a cycle. The warehouse keeps working.

Reorder levels

Minimum stock per line. Anything below its level drops into purchasing automatically.

Accounting export

Goods-in and dispatch records export to your accounting software, so nothing is keyed twice.

Questions

Do we have to re-address all our racking?

An addressed system is the core of it, yes. But it doesn't have to happen in one week; usually you start with the fastest-moving aisle and address the rest gradually while the warehouse keeps running. We work out the addressing plan with you.

Do we need to buy handheld terminals?

Not necessarily. The software works with Android handhelds and with an ordinary phone camera. In busy warehouses a real terminal is faster, but you can start with phones and move up later.

Can we use our existing barcodes?

If the product carries a barcode, yes. If not you generate and print your own internal barcode; bin labels are printed from the system too.

Does it talk to our accounting software?

Export is possible for the common packages. Tell us which one you use and we'll say before installation whether it will be a direct integration or a file transfer.

How many SKUs can it handle?

There is no SKU limit. In practice what matters is not the number of lines but daily movement volume; for warehouses processing thousands of lines a day we plan hardware and network separately.

Will it bring variance down to zero?

No, and nobody can. Things break, samples go out, scans go wrong. What changes is that the variance becomes explainable — instead of 'where did this come from' on stocktake night you have a line-by-line list.
