Removals & House Moving
Quote it over the phone
and you'll regret it on moving day.
Room-by-room survey, cubic-metre pricing breakdowns, load plans, photographic damage records and seasonal planning. How many cubic metres, how many vehicles, how many crew — none of it stays a guess.
The survey is entered on a phone during the visit, with each item's volume coming from a defined list. The customer leaves with both the inventory and the quote. Figures are illustrative.
A quote should be line by line, not one number.
Saying "it's this much" is easy; saying "we didn't discuss that" on moving day is hard. A quote whose breakdown is visible doesn't produce an extras argument.
The external hoist line appears in the quote because the survey recorded that the destination is a 6th-floor flat without a lift. Discovering that on moving day means both an argument and a delay.
What goes in which vehicle shouldn't be decided at the door.
If the inventory exists, so can the load plan. Which vehicle takes what, what gets loaded last — without this plan a second trip happens, and nobody invoices that trip.
The loading order rests on a simple rule: whatever is needed first on arrival gets loaded last. The crew knows this already — but written down, so does the new hire.
"That scratch was already there" isn't enough.
Photographing before loading is the single most useful habit in removals. When a damage claim comes, you don't argue — you open the photograph.
Pre-load record
Valuable and delicate items are photographed individually. Existing scratches, dents and chips go on record, and the customer sees the same list.
Packing record
How each item was packed is recorded. Damage to a piece wrapped in bubble wrap is assessed differently from one that wasn't wrapped at all.
Delivery record
The customer signs on screen at destination. Missing or damaged items are written at that moment — anything added later is recorded separately.
Insurance file
In a claim, photographs, the delivery record and the packing record collect into one file, so what goes to the insurer is complete.
We wrote this section to protect both sides, not to corner the customer. With records kept, whoever is right is easily shown to be right — and sometimes that is the customer, not the removal firm.
Everyone moves at month end, and in summer.
Removals demand clusters into particular weeks of the year. Knowing that changes both pricing and crew planning — a discount in a quiet week, early booking in a busy one.
60% of jobs fall in the last ten days of the month, because tenancy dates do. A discount in the first week means more work from the same crew — and without seeing this table nobody thinks of offering it.
The rest of the operation
Volume database
Volumes for common furniture come predefined. During the survey you pick items and the cubic metres add up by themselves.
Vehicle and crew planning
Clashes are prevented when several jobs fall on one day, and crew load shows weekly.
Booking calendar
Moving dates on a calendar, with deposit status and the balance due on the same screen.
Storage service
Customers whose goods stay in storage are tracked separately, with duration and charges calculated automatically.
Contracts
The removal contract is generated from the quote lines and signed by the customer on screen.
Long distance
For intercity moves, travel, overnight costs and return loads are calculated as their own lines.
Questions
Can we quote without a survey?
The system can produce a rough range from the number of rooms, but we advise against giving that as a firm quote. The most common cause of loss in removals is a price given without a survey. Quoting a range on the phone and confirming after the survey protects both sides.
Do you supply the volume list?
A starter list for common furniture is included, but we recommend adjusting it from your own experience. The wardrobe you move may not be the wardrobe in the list; after a few jobs the list settles onto your reality.
Are photographic records mandatory?
You decide whether to enforce it. We recommend you do — a record without photographs is useless in a damage dispute. Crews slow down at first and adjust within a few jobs.
We offer storage — is it suitable?
Yes. Goods in storage are tracked by customer and volume, with charges calculated daily or monthly. Which bay each item sits in is recorded too.
How many vehicles and crews?
No limit, and no per-user fee. A one-van business and a fleet operator use the same system.
Can customers track their move?
They can see quote lines, the moving date and payment status. Sharing the vehicle's live position on the day is optional — some firms prefer not to, and the setting is yours.
