Dental Clinic Operations

Treatment plan, appointments and payments on one chart.

Every tooth, every procedure, every instalment on a single patient record. The chair schedule fills itself, patients are reminded automatically, and nobody chases a payment plan on paper.

A clinic day

Three chairs, one screen, no collisions

Every chair has its own column and every procedure its own real duration. A crown is not booked as a fifteen-minute check-up, so the afternoon does not collapse at two o'clock.

What a busy clinic loses

Four leaks nobody puts on the balance sheet

01

Empty chair time

A cancellation at 14:00 leaves a hole nobody fills, because nobody knows who was waiting for that slot. The chair, the assistant and the hour are all paid for anyway.

02

Treatment plan in a folder

A patient returns after eight months. Which teeth were done, what was planned next, at what price — someone reconstructs it from paper while the patient waits in the chair.

03

Instalments nobody tracks

Implant work agreed in six instalments. Two were paid. The third was never asked for, and by the time anyone notices, asking has become awkward.

04

Patients who never came back

Half the treatment plan is unfinished. Nobody calls, so both the revenue and the patient walk to the clinic down the road.

What it does

Built around the chair, not around a form

Dental chart and treatment plan

Tooth-by-tooth record of what was done and what is planned, with dates, costs and the treating dentist. Opening a tooth shows its own history — not a mixed timeline of the whole mouth.

  • 32 teeth tracked separately
  • Cost and dentist per procedure
  • Full history from one click
Chair and dentist scheduling

Separate calendars per chair and per dentist, with real procedure durations built in. A booking reserves the chair, the dentist and the patient together, so none of the three can be double-booked.

  • Real durations per procedure
  • Triple reservation, zero clashes
  • Emergency slots reserved daily
Instalment tracking

Treatment priced, payment plan agreed, instalments tracked. Overdue amounts surface on the patient card before they are forgotten, and the reminder goes out while asking is still normal.

  • Plan agreed at the chair
  • Overdue flagged automatically
  • Reminder before it gets awkward
Automatic recalls

Appointment reminders, six-month check-ups and unfinished treatment follow-ups sent on WhatsApp from your own number, so the message arrives from a sender the patient recognises.

  • Day-before reminders
  • Six-month recall cycle
  • Unfinished plan follow-up
X-ray and photo archive

Radiographs and intraoral photos attached to the tooth and the visit, not to a folder on someone's desktop. Three years later, finding the pre-treatment image is a lookup.

  • Attached per tooth and visit
  • Before-after comparison
  • Instant retrieval years later
Consent and anamnesis

Medical history, allergies and signed consent forms stored with the patient record and shown before treatment starts, rather than filed after it.

  • Allergy warning at the chair
  • Signed consent stored
  • Medical history always visible
Clinic reporting

Revenue per dentist, chair utilisation by hour, most frequent procedures and the conversion rate from consultation to accepted plan.

  • Revenue per dentist
  • Chair utilisation by hour
  • Plan acceptance rate
Role-based access

Reception books and collects; the dentist sees the clinical record. Health data is special-category personal data, so access is separated by role and every view is logged.

  • Reception cannot open notes
  • Every access logged
  • KVKK special-category handling
The patient journey

First visit to final instalment

01

First visit

Anamnesis and allergies recorded. Existing condition marked on the chart.

02

Plan

Treatments selected per tooth, priced, and agreed with a payment plan.

03

Sessions

Each visit updates the chart. What was done and by whom is recorded.

04

Follow-up

Unfinished treatments and check-up dates trigger automatic reminders.

05

Completion

Plan closed, final instalment collected, six-month recall set.

A worked example

How an instalment plan actually behaves

This is the case that costs clinics money: a high-value plan agreed verbally, paid partly, and quietly forgotten. Here is the same plan inside the system.

Implant · tooth 46₺42.000
Crown · tooth 14₺11.500
Root canal · tooth 16₺6.800
Filling · tooth 26₺2.400
Total plan
₺62.700
Collected
₺9.200
Overdue instalment
₺8.500 · 12 days

The overdue amount appears on the patient card and triggers a reminder — it does not wait for someone to remember.

Fits your practice

Any clinic size

Single dentist

One chair, straightforward scheduling, simple instalments. The chart and the recall matter most here.

Multi-dentist clinics

Separate calendars, dentist-based reporting, shared patient records with role-separated access.

Aesthetic dentistry

Long treatment plans, high-value instalments, before-after archive that sells the next case.

Oral health polyclinics

Multiple chairs and branches, department-based reporting, central patient history.

Questions

Frequently asked

01Can we import existing patient records?

Patient details, phone numbers and treatment history can be loaded from Excel. Full chart history from another system depends on what that system can export and is scoped per project.

02Does it handle multiple dentists and chairs?

Yes. Each dentist and each chair has its own calendar, and a procedure books both at once so neither can be double-booked.

03How are instalments handled?

A treatment plan carries a total price and an agreed payment schedule. Paid, due and overdue amounts are visible on the patient card and overdue ones trigger reminders.

04Where are X-rays stored?

Images attach to the specific tooth and visit, so opening a tooth shows its own imaging history rather than a mixed folder.

05Is health data handled correctly under KVKK?

Health data is special-category data requiring explicit consent and stricter access control. Consent is stored per patient and every access to a record is logged.

06Can reception see clinical notes?

Only if you allow it. By default reception can book appointments and take payments without being able to open the clinical record, which is the separation KVKK expects.

07Does it work on a tablet at the chair?

Yes, and that is the intended use. Marking a completed procedure is one tap, because there is a patient in the chair and nobody types a paragraph mid-treatment.

08Can patients see their own treatment plan?

A limited view can be shared showing planned treatments, completed work and the payment schedule — which noticeably reduces both the phone calls and the disagreements at the counter.
