Goals, measurement methods and success criteria are set by the specialist. The system does not decide which goal to set — it records and shows how the goal you set progresses session by session. The student and values here are illustrative.
What was worked on in a session has to be remembered next week.
When the specialist working with a student changes, or two weeks pass, where to continue from is read off the record. That is continuity itself.
Frequently used goals and materials are stored as templates, so a session record takes two minutes. The only free text the specialist writes is the observation — and that is the part that matters.
Entitlement hours shouldn't fall short.
A student's report defines their entitlement hours, and tracking them is the centre's responsibility. Hours left undelivered at month end are both the student's loss and the centre's problem.
As month end approaches, incomplete hours appear on a list. Catch-up planning belongs in the third week, not the last — and this list is what makes that possible.
How is a parent to know their child is progressing?
In special education progress is slow and comes in small steps. A parent can't see it day to day; seeing a three-month chart, they can. That is a matter of both trust and continuity.
At the start of term E. found two-word sentences difficult; she now produces them spontaneously in daily routines. The eye contact goal has also been met. Progress on turn-taking is slower — this is expected, and we are continuing with a smaller group size. Short games at home that involve taking turns would help; let's talk through how to do that at our next meeting.
The report does not send before the specialist's assessment is written. A chart alone tells a parent nothing; what tells them something is the specialist's reading of that chart.
Specialist, room and student all need to be free at once.
An appointment isn't just the specialist's availability. Individual sessions need a room, group sessions need a larger space; without checking all three, the day starts slipping.
Specialist qualifications and certificate validity are held in the system too, with warnings as they expire. It is one of the first things an inspection asks for.

Missed sessions get catch-up slots planned; hours not made up within the month land on a list.
Parent communication
Short post-session notes, announcements and appointment reminders. How much is shared is set per family.

Participants and group goals are tracked separately for group activities and never mix with individual goals.
Materials tracking
Which material worked with which student is recorded. Over time the centre builds its own body of knowledge.
Permissions and confidentiality
Access to student data is limited to their specialist; health and diagnosis information sits behind its own permission.
Questions
Does the system suggest goals?
No. Goals, measurement methods and success criteria are set by the specialist — that is a professional decision and should stay one. The system records how the goal you defined progresses, compares it and charts it. We impose no preset goal list.
Does it report to official systems?
No. Ministry and institutional notifications go through their own systems and should stay there. This software sets up in-centre management: goal tracking, session records, entitlement hours, parent communication and archiving. Some manual entry between the two may remain.
How is student data protected?
Special education data is both special-category personal data and children's data; both demand the highest care. Access is permission-bound, access is logged, and installation can be on your own server. Your obligations as data controller continue; the system makes meeting them easier, it does not assume them.
Does the parent report send automatically?
It is prepared but won't send before the specialist's assessment is written. We built it that way deliberately: a chart alone tells a parent nothing. In this field what parents trust is not the number but the specialist's reading of it.
How many students and specialists?
No limit, and no per-user fee. Specialists, administrative staff and the centre owner log in with different permissions.
Can we bring our existing files across?
Student lists and basic details import from Excel. Past goals and session records can move if they were kept tidily; if not, starting from the new term is healthier — a partially imported goal history is more misleading than none at all.
