Fines aren't issued during the inspection.
They're issued on the date you missed before it.

Statutory obligation calendars, staff compliance matrices, risk assessments, training plans and incident records. Which site is missing which document — visible the day the gap appears, not the day the inspector arrives.

Figures and sites are illustrative. Your own list carries your client sites, hazard classes and renewal periods.

A whole workforce on one screen.

Rows are people, columns are obligations. A red cell means someone who should not be on site that day. That is something to see at the start of a shift, not during an inspection.

Two employees hold expired certificates. Putting a technician whose working-at-height certificate has lapsed onto that job creates liability both before and after an accident.

A risk assessment shouldn't be a document sitting in a folder.

Every identified risk is tied to a control measure, an owner and a target date. An item that isn't closed stays on the report — and it is the first thing asked at the next inspection.

The safety officer sets the risk level and the control; the system tracks it and chases what stays open. The software does not perform the risk analysis — it keeps the one you performed alive.

Training is not the same thing as a signed sheet.

Who took which training, when, when it renews and who attended is all recorded. Paper gets lost; the record doesn't.

When training completes, the compliance matrix updates automatically for those who attended. Anyone who didn't stays open until a new date is planned.

Near-miss reports are the only warning before an accident.

Events that don't cause injury usually go unrecorded, because nobody feels obliged. Yet if accidents are falling while near-miss reports are rising, something is going right.

In this illustrative chart near-miss reports rise while accidents fall. That means a reporting culture has taken hold, and it is the best picture safety work can produce — the reverse is also true: a workplace with no near-miss reports at all isn't safe, only quiet.

The rest of the practice

Document archive

Reports, minutes, attendance lists and measurement results live in the site file. An inspector's request is opened, not hunted for.

Physician and officer rotas

Which physician and officer attends which site for how many hours. Sites falling short of the statutory minimum are flagged.

Attendance records

Attendance is captured by QR code or signature and archived alongside the certificate.

Renewal periods

Renewal periods are defined by hazard class and the system calculates the next date itself.

Double alerts

An approaching obligation reaches both the site contact and the responsible officer.

Client portal

Client sites can see their own gaps and upcoming dates — most of the phone traffic disappears there.

Questions

Does this software guarantee regulatory compliance?

No, and no software does. Interpreting regulation is the job of the safety officer and the workplace physician. What the software does is not forget the obligations and dates you defined, and make gaps visible. Most fines come not from ignorance but from a lapse in follow-up — that is what this addresses.

Does it integrate with the ministry reporting system?

Your existing reporting software keeps doing its job; we are not replacing it. We build the tracking, archive, training plan and client communication layer. File-based transfer between the two can be set up; tell us which system you use and we'll say what's realistic.

Does the system know the renewal periods?

Common periods by hazard class come preloaded, but you review and confirm them. Keeping them current when regulation changes is your responsibility; the system recalculates from whatever period you set.

How many sites can we track?

No limit on sites or employees, and no per-user fee. Officers, physicians and office staff log in with their own permissions.

How is employee health data protected?

Health data is special-category personal data and access sits behind its own permission — the physician sees it, the employer sees only the fitness outcome. Access is logged. Your obligations as data controller continue; the system makes meeting them easier, it does not assume them for you.

Can we give client sites access?

You can. A site contact sees their own gaps, upcoming dates and documents. How much is visible is your decision.
