The vehicle and measurements shown are illustrative. The diagram and panel list change by vehicle type; commercial vehicles and motorcycles have their own templates.

The customer opens the report on their phone.

When the inspection finishes the report is shared by QR code. It holds the panel diagram, the measured values, photographs and the technician's note. In a dispute between buyer and seller, you are holding a document.

Panel measurement list

Every panel's micron reading and condition as a table. The value read from the gauge cannot be silently altered — a correction leaves a trace.

Photographic record

A photograph for every finding, stamped with the time it was taken and the vehicle's mileage.

Chassis and airbag checks

Chassis measurements, airbag status and mileage consistency are reported in their own section.

An immutable record

Once published the report cannot be edited. A later finding appears as a supplementary report, with its own date.

Where is the car right now?

A vehicle in the workshop moves along a line. When the customer calls you answer without saying "let me check" — and most of the time they have already looked on their own phone.

The quote goes to the customer's phone; they approve or decline line by line. An unapproved line never reaches the job card. Most workshop disputes start here — and end here.

A declined line stays on record. If the same fault returns six months later, "you were told about this" rests on a document.

Be the one who remembers the next service.

Service intervals, the MOT date and insurance renewal live on the vehicle card. When the time comes a message goes out. Most customers who don't come back aren't unhappy — they simply forgot.

Scheduled servicing

By mileage and by date. An estimated date is calculated from the car's average monthly mileage.

Inspection date

A reminder goes out as the vehicle inspection date approaches — which is itself a reason to come in.

Tyre season

The winter-summer changeover. Customers whose tyres you store get their own reminder.

Quote follow-up

Declined or pending lines are brought up again after a set period.

Parts stock

Parts used are deducted from stock by the job card. Anything hitting its reorder level joins the purchase list.

Vehicle history

When the same car returns, past job cards, replaced parts and photographs open ready.

Warranty tracking

A warranty period is set for labour and parts; a vehicle returning within warranty is flagged separately.

Insurance file

For insurance work, the required document set is collected in one file and exported together.

Questions

Can our paint gauge connect to the system?

Some gauge models transfer readings directly; tell us which you use and we will confirm compatibility. Without transfer the value is keyed in, but any later change to an entered value leaves a trace.

We do both servicing and inspections — is it one system?

Yes, both in one. The inspection report and the service job card are separate documents but attach to the same vehicle record. A car inspected first and serviced later already has its history.

Is the customer's approval legally valid?

The system records who approved what, when and with which content, and produces that as a document. How that is used in your business is a legal question; we guarantee a complete record and leave the legal assessment to your advisor.

Is there a user or vehicle limit?

No per-user fee and no vehicle limit. Growing does not require buying additional licences.

Can we bring our existing customer and vehicle records across?

A list from Excel or your current software imports. Past job cards can move too if they have been kept tidily; if not we look together at which part can be transferred meaningfully.

Does it work without internet?

Booking-in and job card work continue locally through short outages and sync when the connection returns. Sending reports and quotes to customers naturally needs a connection.
