They stopped coming six weeks ago. You found out today.
Memberships, entry control, class bookings, PT sessions and collections in one system. A member drifting away is flagged while a phone call can still bring them back.
Burak S. trained 4× a week for 5 months. Last 3 weeks: once.
Call before renewalA hundred people joined in January
This is a real shape for a typical gym. The steep part is not month six — it is weeks three to eight, long before the membership expires. That is the window where a phone call still works, and it is exactly the window most gyms are blind to.
By June, 72 of the original 100 are gone — but most of them stopped attending months before they stopped paying. The system flags the attendance drop, not the payment stop.
The membership base under control
Churn warning
Members whose visit frequency drops are flagged automatically, while a phone call can still bring them back.
The comparison is against the member's own earlier pattern, not a global average. Someone who trained four times a week and now comes once is flagged even if forty days remain on their membership — because the decision to leave was made weeks before the renewal date.
Membership and remaining days
Every member's package, start and end dates and remaining days visible at a glance.
Expiring memberships surface as a working list, sorted by how many days are left and how recently the member actually attended — because a lapsed member who still trains is a very different call from one who vanished.
Entry control
QR or card entry checked against membership status. Expired members are stopped at the door, not at the till.
Every entry is also an attendance record, which is what makes the churn warning possible in the first place. Access control and retention analytics are the same data seen twice.
Class and PT scheduling
Capacity-limited class bookings and one-to-one PT sessions with trainer calendars and waiting lists.
When a class fills, the next person joins a waiting list and is notified automatically if a place opens. A full class that turns people away without a waiting list is a retention problem disguised as a capacity problem.
Collection tracking
Instalments, overdue payments and automatic reminders. Renewal offers go out before expiry, not after.
The renewal message reaches the member while they are still training, which is the only time it converts. After expiry you are not renewing a member — you are trying to win back a former one, and the difference in conversion is large.
Trainer and revenue reports
Sessions per trainer, revenue per package, entry density by hour.
Entry density by hour tells you when you actually need staff on the floor. Most gyms staff evenly and are simultaneously overstaffed at 11:00 and understaffed at 19:00.
What one saved member is worth
A member paying ₺1.200 a month who would have left at month four, but stays to month eleven instead. This is the entire commercial case for a churn warning.
Save four members a month and the system has paid for itself several times over. We are not claiming every flagged member can be saved — only that you cannot save the ones you never see.
Any training business
Classic gyms
High member count, entry control, monthly packages, churn as the main enemy.
Pilates and yoga studios
Capacity-limited classes, session packages, waiting lists that matter.
Personal training studios
One-to-one sessions, trainer calendars, package deduction per session.
Multi-branch chains
Cross-branch entry, central membership, branch-based retention comparison.
Frequently asked
Does it work with our existing turnstile?
It depends on the hardware. Systems that accept an external check over a network call can usually be integrated; fully closed devices cannot. We check the model before quoting.
How is churn detected?
By comparing a member's recent visit frequency to their own earlier pattern. A member who trained four times a week and now comes once is flagged, regardless of remaining days.
Can members book classes themselves?
Yes. Class capacity is enforced, and when a class is full the next person joins a waiting list and is notified automatically if a place opens.
Are PT packages deducted automatically?
Yes. Completing a PT session deducts one from the member's package, so remaining sessions are a record rather than a disagreement.
Can we use it across several branches?
Yes. Membership is central, entry can be permitted at selected branches, and reporting works per branch or consolidated.
Does flagging a member actually reduce churn?
It gives you a list and a window; it does not make the call for you. Gyms that act on the list see a difference, gyms that generate it and ignore it see none. We would rather say that plainly than promise a percentage.
