Teacher's note

Deniz gave a toy to a friend today for the first time without being asked, then looked at me and smiled. We've been working on sharing for three weeks and today it happened on its own. Worth mentioning at home this evening.

A report won't send before the teacher's note is added. A report that is only ticked boxes tells a parent nothing — and those few sentences are what parents value most when choosing a nursery.

Parents follow the day on their phone.

Arrival, meals, naps, activities and pick-up reach the parent as they happen. "I wonder if she cried" is the most common worry in the first week — and this feed reduces it noticeably.

Photo sharing

An activity photo goes only to that child's parent. If a group photo includes children whose families haven't consented, it isn't shared.

Live or daily digest

Parents who don't want every notification can receive one summary a day. The choice is theirs, the setting is yours.

Two-parent families

Mother and father get separate access; in separated families, access and collection authority are defined independently.

Teacher workload

Entering updates shouldn't add work. One-tap presets are defined, and free text is only written in the daily note.

Who may collect a child is the most serious job software does here.

The worst thing that can happen in a nursery is a child released to someone unauthorised. The authorised list is kept with photographs; when someone not on it arrives, the screen turns red and no collection record opens.

When someone not on the list arrives, no collection record opens. The teacher calls the parent, and if they confirm, a temporary entry is added to the authorised list — recorded together with who added it.

This section is not a marketing feature. Anyone who runs a nursery knows why it is here; for those who don't: a nursery that keeps no authorised-person list will one day face a situation it cannot explain.

An allergy note has to be visible in the kitchen too.

A child's allergy shouldn't be something only the teacher knows. Allergies appear as their own line on the daily kitchen list; if medication is to be given, parental consent and the time are recorded.

Administering medication is its own matter and every nursery has its own policy. The system makes sure parental consent and the time given are on record — whether to give it is your decision and your responsibility.

Don't have the fees conversation face to face at the door.

The most uncomfortable moment in a nursery is reminding a parent about fees at pick-up. Payment status sits in the system, reminders go by message, and parents see their own balance on their phone.

Registers and absence

The morning register is taken and the parent of an absent child is notified. If they forgot to call, that notification reassures both sides.

Development archive

Health records

Temperature checks, accidents and when the parent was informed. Even a small incident on record prevents a later dispute.

Staff files

Teacher qualifications, medical certificates and background checks are tracked, with warnings as documents expire.

Transport tracking

Boarding and alighting records; the parent is notified when the child gets on and off the bus.

Announcements

Parent meetings, holidays and events go out to a group or the whole nursery in one send.

Questions

Won't this add work for the teachers?

It was designed not to. Meal, sleep and toilet entries are one-tap presets; the only thing a teacher writes is the daily note. Even so, the first two weeks are an adjustment — at installation we sit with the teachers and simplify the flow together.

Is photo sharing a problem for child privacy?

It is a serious matter and the system was built around it: a photo goes only to that child's parent, and sharing is blocked if a group photo contains a child without consent. Parental permissions are kept in the system. Even so, the regulatory and contractual side remains your responsibility.

Does every parent have to receive every notification?

No. Each parent chooses live notifications or a single daily summary. Some want to know every movement, others find it intrusive — that choice should stay with them.

How is access handled in separated families?

Mother and father get separate access; collection authority and information access can be defined independently. Where there is a court order, restrictions are entered accordingly. This is one of the most sensitive situations nurseries face and has been thought through separately.

Where is the data stored?

On your own server or on hosting we provide. Children's data is sensitive; either way access is logged and backups are defined.

How many children and branches?

No limit, and no per-user fee. With several branches, each runs its own groups and the owner sees them all together.
