Where deals leak

Four ways an office loses a commission it already earned

The buyer lives in someone's phone

A listing arrives that fits a buyer from three months ago. The consultant who spoke to them has left, and the record left with them.

The same listing posted five times

Three consultants publish the same property at different prices. The customer sees all three, trusts none, and calls the office down the street.

Viewings nobody recorded

Who saw which property, when, and what they said afterwards. Without it, follow-up is guesswork and the second visit never gets scheduled.

Commission argued after the deal

Who found the buyer, who found the seller, who did the viewing. Agreed verbally, remembered differently, settled badly.

What it does

Built around the match, not the listing

Demand ↔ portfolio matching

Every buyer request is stored as structured criteria — rooms, area, budget, features. When a listing is entered, the system scores it against every open demand and tells you who to call first, with a fit percentage rather than a hunch.

Portfolio management

One record per property with photos, documents, owner details, price history and exclusivity status. Publishing to portals happens from that single record, so the same flat cannot exist three times at three prices.

Viewing tracking

Every viewing recorded with the consultant, the buyer, the date and the feedback afterwards. The second visit gets scheduled because the first one left a trace.

Commission calculation

Splits defined up front — finder, lister, closer, office share. When the deal closes the calculation is arithmetic, not a conversation nobody enjoys.

Owner and buyer updates

Owners see how many viewings their property received; buyers get new listings that match their criteria. Both sides stop calling to ask.

Office reporting

Listings per consultant, viewings per listing, conversion from viewing to offer, and average days on market by district and price band.

How a deal moves

From listing to commission

01

Listing intake

Property recorded with photos, documents and owner agreement. Exclusivity status set.

02

Automatic match

System scores the listing against every open buyer demand and ranks who to call.

03

Viewings

Appointments booked and feedback recorded, so follow-up has something to stand on.

04

Offer

Offers tracked against the listing with owner responses and counter-offers.

05

Close

Deal closed, commission split calculated from the agreement, not from memory.

A worked example

How a commission actually splits

A ₺8.200.000 sale at 2% total commission. Everyone agrees the numbers up front, so nobody discovers their share at the end.

Questions

Frequently asked

How does the matching actually work?

Buyer demands are stored as structured criteria rather than free text — rooms, district, budget range, must-have features. A new listing is scored against every open demand, and the score is shown so you can judge it rather than trust it blindly.

Can we publish to property portals?

Listings are prepared in a portal-ready structure with the required fields and image sizes. Direct API publishing depends on each portal's own partner programme and is scoped per project.

Does it prevent duplicate listings?

Yes. A property is one record, and consultants work on that record instead of creating their own. This is what stops the same flat appearing three times at three prices.

How are commission splits handled?

Splits are defined per deal before closing — finder, lister, closer and office share. When the sale completes the distribution is calculated automatically from the agreed percentages.

Is buyer data handled correctly under KVKK?

Buyer criteria and contact details are personal data. Access is role-based, consent for marketing messages is stored separately, and every access to a record is logged.

What happens when a consultant leaves?

Their portfolio and buyer demands stay in the office, because they were never in a personal phone. This is the single most expensive problem the system removes.
